E-sign - How to send a document for Signing

Learn how to send a document to a participant for electronic signing using Caresquare's Send for Signing feature. This guide walks you through selecting a template, adding recipients, reviewing the signing request, and sending the document.

The Send for Signing feature allows you to send a document to a participant or other recipient for electronic signing.

You can select a document template, add a message, set the signing order and expiry date, confirm the recipient details, and review everything before sending.

The process

Participant Profile → Send for Signing → Details → Recipients → Review → Send for Signing


Step 1: Open the Participant's Profile

  1. Go to the participant's profile.

  2. Click the Quick Actions (⋯) button in the top-right corner.

  3. Select Send for Signing.

Once selected, A Send for Signing window will open.


Step 2: Complete the Details

The first step is Details. This is where you provide the basic information about the document you are sending.


You can complete the following:

A. Document Template

Select the Document Template you want to send for signing.

The available templates will appear in the dropdown list.

B. Envelope Name

Enter a name for the signing request.

For example: I have selected CForm – Dionela Smith

This makes it easier to identify the signing request.

C. Message to Recipients

You can add a personal message that the recipient will see before signing.

This field is optional.


For example : Hi Dionela! Please see attached file (consent Form) for your signature please. Thank you!

D. Signing Order

Choose how the recipients should complete the document.

E. Expiry Date

You can set an Expiry date for the signing request.

This field is optional.

Once you have completed the details, click Continue.


Step 3: Add or Confirm Recipients

The next step is Recipients.

This is where you can review and confirm who will receive and sign the document.

Under Signers, you can:

  • Review the signer(s) included in the document template.

  • Confirm their Name.

  • Confirm or update their Email.

  • Add a person as Copied in if they only need to receive a copy and do not need to sign.

Note : The signer roles come from the selected document template, so you can edit the recipient's details but cannot add or remove signer roles from this step.

Once the recipient details are correct, click Continue.


Step 4: Review the Signing Request

The final step is Review.

Here you can review the information before sending the document.

You can check:

  • Template – The document template being used.

  • Name – The envelope/signing request name.

  • Signing order – How the document will be signed.

  • Linked participant – The participant associated with the signing request.

  • Signers – The people who will sign the document.

  • Message – The message that will be sent to the recipients.

You can also choose whether to Notify when complete and select the staff member who should receive the notification.

Once the document has been successfully sent, you will see an Envelope sent notification confirming that the signing request was sent.


A details window will also automatically open, showing information about the sent signing request.


From this window, you can review the document, signing order, message, signer status, and activity associated with the signing request.

Tip : You can also send a reminder by clicking the Bell icon or copy the signing link to share with the signer.


Review Sent Documents

Sent documents for signing can be found in the participant's Documents tab under the For Signing section.

Here, you can see the documents that have been sent for signing and their current status.

For example, a completed document will show as COMPLETED and indicate that it has been signed.

You can also view the history of documents sent for signing from the participant's Activity section.

Go to the participant's Details tab, in the Activity Section under Envelopes Tab
