E-sign - Uploading and editing a document for signing

In this article, we’ll walk you through the process of uploading and preparing a document for eSigning.

With eSigning, you can prepare a PDF document for signing by uploading the file, adding the required fields, assigning them to recipients, and customising the fields before saving the document.

The Process

Upload PDF → Add Fields → Assign Recipients → Edit Field Settings → Adjust Fields → Save

With eSigning, you can:

  • Upload a PDF document

  • Add signature fields to the document

  • Add other fields such as Name, Email, Mobile, Checkbox, and more

  • Assign fields to a specific recipient

  • Customise field behaviour and text

  • Adjust the size and position of fields

  • Save the document once it is ready to be sent for signing


Step 1: Upload Your PDF

To get started:

  1. Go to Settings from the left-hand menu.

  2. Select Signing from the top menu.

  3. Click Upload PDF to upload the document you want to prepare for signing.

Once the PDF has been uploaded, you can start adding the required fields to the document.


Step 2: Add Fields to Your Document

The eSigning editor provides different fields that you can drag and drop onto your document.


A. Assign To - This section shows the recipient who will be completing the fields.

B. Signature - Under Signature, you can add different signing-related fields to the document, including:

  • Signature

  • Initials

  • Witness

  • Date signed

C. Other Fields - Under Fields, you can add additional information fields, including Text, Name, Email, Mobile, Checkbox or Stamp

To add a field, simply drag and drop Signature onto the document.

Once the field has been added, you can select it to edit its properties.


D. Assigning Recipients

Click Recipients in the top-right corner to add or select the person who will receive the document.


You can type in the recipient's name, and the recipient information will automatically update in the Assign To section.

The Assign To section shows the recipient who will be completing the selected field.

Make sure each field is assigned to the correct recipient.


Step 3: Edit Your Field Settings

After adding a field, select it to view and edit its properties.

You can customise:

  • Recipient

  • Behaviour

  • Text

  • Position


Recipient - Select the recipient who will be responsible for completing the field.

Behaviour - You can configure how the field behaves:

  • Required – The recipient must complete the field before they can submit the document.

  • Read only – The field is pre-filled and cannot be edited by the recipient.


Text - This section allows you to customise the field by:

  • editing the Label

  • adding a Tooltip


Position - This section allows you to adjust the field's position, width and height.

You can also manually drag and resize the field directly on the document.


Step 4: Review Your Document

Before saving, take a moment to check that:

  • All required fields have been added.

  • Each field is assigned to the correct recipient.

  • The field behaviour is correct.

  • Labels and tooltips are set correctly where needed.

  • Fields are positioned and sized correctly on the document.

This helps make sure the document is ready for the signing process.


Step 5: Save Your Document

Once everything is ready, click Save in the top-right corner.

Your eSigning document is now saved and ready for the next step in the signing process.
