Custom Reports allows you to create reports tailored to the specific data you want to view in Caresquare. You can either generate a report using a natural-language question or build a report manually by selecting a data source and configuring the available fields and filters.
Accessing Custom Reports
Go to Reports from the left-hand menu.
Select the Custom tab at the top of the Reports page.
How to Build a Custom Report
Option 1. Explore your Data
The Explore your data section allows you to ask questions about your Caresquare data using natural language.
Simply type your question into the search field and press Enter.
For example, you can ask:
Total invoice amount by provider for this quarter
Count of active participants by state
All invoices over $5000 from the last 30 days
Average line item amount by claim type
Participants onboarded this month
Top 20 providers by total invoiced amount this year
Line items with claim status Rejected in the last 90 days
Count of invoices by approval status
You can also select one of the suggested example questions displayed below the search box.
Note: AI-generated queries may not always be perfect. If a question is ambiguous, Caresquare may ask you to confirm the intended query before generating the report.
Option 2: Build a Report
If you prefer to create the report yourself, you can use the Build a report section.
Step 1: Select a Data Source
Choose the type of data you want your report to be based on.
Available data sources include:
Participants
Providers
Invoices
Line Items
NDIS Plans
Budgets
Service Bookings
Service Agreements
Notes
Email Logs
Approval Emails
Participant Documents
Tasks
ABA Files
Users
Select the data source that best matches the information you want to report on.
Step 2: Configure Your Report
Once you select a data source, Caresquare will provide the relevant options for that data source. You can configure the report based on the information you need to analyse.
Depending on the selected data source, you can use available fields, filters, and other report options to narrow down the results.
Step 3: Run the Report
Once your report has been configured, select Run report to generate the results.
The generated report will then appear under Report runs.
Report Runs
The Report runs section displays reports that have been generated.
You can use the Search reports field to find a specific report.
Reports can also be viewed using:
Feed – displays the report runs in a feed-style view.
Table – displays the report runs in a table format.
Saved Templates
If you regularly create the same type of report, you can save it as a template using Save as template.
Saved templates can be accessed through Saved templates, making it easier to reuse frequently needed reports without building them again from scratch.
Resetting a Report
If you want to start over while building a report, select Reset to clear the current report configuration and begin again.
Let's build a report to demonstrate:
Here, you can see that the data source I have selected is Budgets.
I want to pull the remaining budget for all support categories across all participants, so I have selected the following fields:
First Name
Last Name
NDIS Number
Support Category
Category Remaining Amount
Once I have selected all the data I want to extract, I’ll click Run Report.
You will find the generated report under the Reports Runs section, where you can view, download, save, or delete the report.
