QA Service Item Routing

QA Service Item Routing allows you to create organisation-level rules that automatically route invoices to the QA tab when they meet specific conditions.

This can be useful if you want certain types of invoices, services, or charges to always receive a manual review before continuing through the invoice workflow.

Note: QA Service Item Routing is configured at the organisation level, so the rules you create will apply to invoices across your organisation.


Accessing QA Service Item Routing

  1. Go to Settings.

  2. Select Configuration.

  3. Find QA Service Item Routing.

Here, you can view your existing routing rules or create a new rule.


Creating a QA Routing Rule

Select + Add Rule to create a new routing rule.

You will need to provide:


A. Rule Name

Enter a name that clearly identifies what the rule is checking for.

(The rule name helps you identify the purpose of the rule when managing your routing rules.)


B. Violation Message

Enter the message you want displayed on an invoice when the rule is triggered.

If you leave this field blank, the Rule Name will be used as the message.


C. Choose a Match Mode

You can choose between Match ALL and Match ANY.


Match ALL -All conditions added to the rule must be met for the invoice to be routed to QA.

Match ANY - The invoice will be routed to QA when at least one of the conditions is met.


Tip: Use Match ALL when you want to create a more specific rule that only applies when multiple requirements are met.


D. Adding Conditions

Select the Conditions to define what should trigger the rule.

Depending on the available options, you can create conditions based on information such as but not limited to :

  • Line Item – Description, Unit Price, Quantity, Line total, Claim type,

  • Invoice – Invoice total, Service Item number, Support category, Registration group, Therapy provider

  • Provider – Provider number, Provider ABN

  • Participant – Participant number,

You can also select the appropriate comparison operator and add additional conditions.

You can add multiple conditions to make your routing rule more specific.


E. Create

Click create to apply and add the rule.


Managing Existing Rules

Once a rule has been created, it will appear under QA Service Item Routing.

From there, you can:

  • Review the rule and its conditions.

  • Edit an existing rule.

  • Delete a rule.

  • Refresh the list of rules.


What Happens When a Rule Is Triggered?

When an invoice meets the conditions of a QA Service Item Routing rule, the invoice will be automatically routed to the QA tab.


The configured violation message will also be shown on the invoice under the "Custom rule violated" icon so your team can understand why the invoice has been flagged for review.


Let's create a rule to demonstrate:​

If you want invoices that include service item 04_102_0136_6_1 to be sent to QA, create a rule with:

Create a Rule with :

Rule Name: Please review Manually
Match Mode : Match ALL
Condition: Service Item Number → is any of → 04_102_0136_6_1
